Heepsters

One clinic operating system

Stop running your clinic through seven separate systems.

Replace the EMR, Zoom, Slack or Teams, eFax, separate AI, claims portal, and HR patchwork with one platform built around the patient.

Competitor information checked 2026-10-01.

The difference

One patient. One platform. One clear next step.

Most practices do not have a software problem. They have a handoff problem. Heepsters keeps the daily work in one patient-centered system.

The Heepsters way

One clinic operating system.

one secure workspace
  • Patient record, portal, and intake
  • TMS course and clinical documentation
  • Scheduling, arrival, and telehealth
  • Calls, SMS, secure chat, and fax
  • Lia assistance and owned follow-up
  • CMS-1500, 837P, and Availity workflow
  • Onboarding, time, PTO, and payroll review

One patient story. One owner for the next step. One audit trail.

Why owners care

Fewer systems means fewer places for work to get lost.

Stop rebuilding the patient story.

The call, appointment, note, message, fax, treatment course, and claim stay connected to the same record.

Make ownership obvious.

Patient and staff work has an owner, a status, and a next step instead of disappearing between inboxes.

See the whole practice.

Clinical care, front-desk work, billing preparation, and staff operations live in one role-aware workspace.

KLAS research identifies third-party workarounds, billing disconnection, documentation burden, inbox friction, and implementation fit as recurring behavioral-health technology problems. KLAS did not evaluate Heepsters Practice.

Compare the market

Most platforms solve part of the job.

Heepsters is built for the clinical work and the work around it. Competitor prices below are vendor-published. Heepsters pricing remains private while we validate the right fit for each clinic.

“Built in” describes the software workflow. Payer enrollment, credentials, adjudication, and payment remain outside every EMR.

From care to clean claim

A completed visit should not die in a billing backlog.

Your staff and your bills depend on care becoming a complete, supportable claim. The real enemy is the gap between care delivered and a claim the payer can adjudicate. Heepsters keeps coverage, authorization, treatment documentation, coding review, and the payer packet in one workflow—so billing starts with the signed record, not a second data-entry project.

  1. 01

    Confirm coverage

Keep payer, subscriber, eligibility, authorization, and approved-unit details with the patient before treatment starts.

  2. 02

    Document the care

The signed note carries the date of service, provider, diagnosis, procedure, treatment detail, and supporting clinical record forward.

  3. 03

    Catch what is missing

Claim-readiness checks flag missing signatures, provider mismatches, authorization gaps, exhausted units, and incomplete claim data.

  4. 04

    Build the payer packet

Create CMS-1500 and 837P claim data with a minimum-necessary PDF attachment generated from the signed TMS session record.

  5. 05

    Route and follow up

Approved, queued claims can use configured Availity transport, with submission receipts, acknowledgments, and remittance files kept visible for review.

What Heepsters can control

  • Complete, signed documentation before billing review
  • Code, diagnosis, authorization, and provider consistency
  • A visible queue for blocked, submitted, rejected, and paid claims

What the payer still controls

  • Enrollment, coverage, and medical-necessity decisions
  • Claim adjudication, allowed amounts, and denial reasons
  • The date and amount of payment after a claim is accepted

CMS reports that incorrect coding, insufficient documentation, and no documentation were the leading causes of 2024 Medicare E/M improper payments. That does not predict a clinic's denial rate; it shows why the clinical record and claim should not become separate workflows.

Heepsters is designed to reduce re-entry, missing information, and avoidable billing rework inside the clinic. It does not guarantee claim acceptance, denial rates, reimbursement, or payment timing. Availity submission requires payer enrollment, approved credentials and endpoints, a clean queued claim, and practice authorization.
